Clock-in Methods
The Clock In tab offers five methods for identifying an employee before recording a clock event. All methods lead to the same result — the employee is presented with the actions available to them based on their current status.
Selecting a method
At the top of the Clock In screen, a segmented control lets you choose between Manual, PIN, QR, NFC and Face. The app remembers your last-used method. Select the one that suits the situation — for example, QR or Face at a fixed kiosk, NFC when walking the site.
Available actions
Once an employee is identified, the app shows only the actions that make sense given their current clock status:
- Not clocked in today → Clock In
- Clocked in → Lunch Out, Clock Out
- At lunch → Lunch In, Clock Out
- Clocked out → Clock In (new shift)
Tapping Clock Out while at lunch automatically sets the status to clocked out — no need to clock back from lunch first.
Backdating
The date picker above the method selector defaults to today. Tap it to select a past date. When a past date is selected, an amber Backdating badge appears as a reminder. All clock events created while backdating use the selected date combined with the current time (or a time you enter using the time override toggle).
Manual list
Shows all employees in a scrollable list with department headers. Use the department filter or the search bar to narrow the list. Tap an employee to see their available actions. Best for small teams or when a badge is unavailable.
PIN code
The employee enters their 4–6 digit PIN on a keypad. Tap Search (not Enter — there is no auto-submit on keypress) to find the employee. The matching employee is shown for confirmation before any action is taken. Best as a backup method when other methods fail.
QR code
Opens the device camera. Point it at the QR code on the employee's ID badge. The employee is identified instantly and their available actions appear. Works on both iPhone and iPad. Best for fixed kiosk setups.
NFC badge
Tap the NFC button and then hold the employee's badge to the top of the iPhone. The system NFC sheet appears briefly, then the employee is identified and their actions shown. iPhone only — iPad does not support NFC. See NFC troubleshooting if tags are not scanning.
Facial recognition
The camera activates and scans the employee's face. When a match is found above the confidence threshold, a card appears showing the matched employee. Tap the confirm button to proceed — recognition is never automatic, it always requires a tap to prevent accidental clock events. If the wrong person is matched, tap Try Again.
